How to know if someone read your email

Read receipts are limited and trackers are approximate. Here is what works in Gmail and Outlook, and the reliable option.

The short answer

  • Read receipts only work on work or school Gmail accounts and on some Outlook accounts, and the reader can say no.
  • Tracking images work in any email, but they are approximate: some apps load them without anyone reading, others block them.
  • A document link is the most reliable sign: you see when the file was opened and which pages were read.

Gmail

Google says: “Read receipts are only available to work or school accounts. They don't work with personal Gmail (@gmail.com) accounts.” The reader may need to approve the receipt, and Google adds that a receipt “doesn't always mean the recipient read your message.”

On a work or school account: Compose → More options → Request read receipt.

Outlook

Microsoft says: “the message recipient can decline to send read receipts” and “There is no way to force a recipient to send a read receipt.” Read receipts are not available for IMAP or POP accounts such as Gmail, Yahoo or iCloud added to Outlook, and on Outlook.com they need a Microsoft 365 subscription.

In new Outlook: Options → Tracking → Request a Read Receipt.

Without a read receipt

Email trackers add a tiny invisible image. When the email loads it, you get an “opened”. It is a hint, not proof:

  • Apple Mail can load images without anyone reading, so you may see false opens.
  • Gmail loads images through Google's servers, so later opens may not show.
  • Outlook and many company systems block images, so real reads can be missed.

FAQ

Questions about email read receipts

Can I get a read receipt on a personal Gmail account?

Not with Gmail's own feature: Google limits read receipts to work or school accounts. A tracker or a document link works on any account.

How do I know if someone read my email on iPhone?

Trackers can show false opens on iPhone, because Apple Mail can load images on its own. A FileSeen link for the file you attach shows a real open.

Can I see if someone opened my email without a read receipt?

Yes, approximately, with a tracking image, or reliably for an attached document by sending it as a FileSeen link.

Does the reader need an account to open a FileSeen link?

No. It opens in any browser.

Can my AI assistant do this for me?

Yes. Connect FileSeen to ChatGPT, Claude, Gemini or Grok and ask it to send the file as a link and check later. See FileSeen for AI assistants.
